Cancellation & Refund Policy

This Cancellation & Refund Policy applies to all hotel bookings made through hotel.adamvacations.com. Please read this policy carefully before confirming any booking. By completing a booking, you acknowledge and agree to the terms set out below.

1. Hotel Cancellation Policies — General Principle

Cancellation terms are set by the individual hotel or accommodation provider (Service Provider) and vary by property, room type, and rate plan. The specific cancellation policy applicable to your booking is always displayed:

  • On the room selection page before you add a room to your booking.
  • On the booking review / confirmation page before you complete payment.
  • In your booking confirmation email after purchase.

Always review the cancellation policy carefully before confirming, as some rates are non-refundable.

2. Types of Cancellation Policies

2.1 Free Cancellation

Bookings with a free cancellation policy can be cancelled at no charge up to a specified date and time (the 'free cancellation deadline'), which is stated in your booking details. Cancellations made after this deadline may be subject to a charge equivalent to one night's stay or the full booking amount, as specified by the hotel.

2.2 Non-Refundable Bookings

Some rates — typically the lowest available — are non-refundable. For non-refundable bookings:

  • The full booking amount is charged at the time of confirmation.
  • No refund is available for any cancellation, regardless of the reason.
  • These rates cannot be modified or amended once confirmed.

Non-refundable bookings are clearly labelled during the search and booking process. We strongly recommend purchasing travel insurance to protect against unforeseen circumstances.

2.3 Partially Refundable Bookings

Some bookings operate on a tiered cancellation structure where the refund amount depends on how far in advance the cancellation is made. The specific tiers and refund amounts are stated in the booking details before confirmation.

3. How to Cancel a Booking

  • To cancel a booking made through hotel.adamvacations.com:
  • Log in to your account at hotel.adamvacations.com and go to 'My Bookings'.
  • Locate the booking you wish to cancel and click 'Cancel Booking'.
  • Review the cancellation terms and any applicable charges.
  • Confirm your cancellation request.
  • A cancellation confirmation email will be sent to your registered email address.

Cancellation requests are processed during business hours (09:00–21:00 IST, seven days a week).
Note: Cancellations requested by telephone must be followed up in writing (email) for record purposes.

4. Cancellation Charges and Fees

4.1 Hotel-Imposed Cancellation Charges

Where a cancellation charge applies under the hotel's policy, the charge will be deducted from your refund. The specific amount is stated in your booking confirmation and on the cancellation review screen.

4.2 Adam Vacations Service Fee

Adam Vacations' booking service fee (where applicable) is non-refundable upon cancellation, regardless of the hotel's cancellation policy. This fee covers the cost of processing your booking through our platform and Supplier API network.

4.3 Handling Fee

A handling/processing fee of USD 25 per booking may be applied by Adam Vacations to cover administrative costs associated with processing your cancellation and refund.

5. Refund Processing

5.1 Eligibility

A refund will be processed where the booking was made under a free cancellation or partially refundable rate and the cancellation was made within the permitted window.

5.2 Refund Method

All eligible refunds are credited to the original payment method used at the time of booking (credit card, debit card, bank account). Refunds cannot be redirected to a different payment method.

5.3 Refund Timeframe

Once Adam Vacations has confirmed your refund eligibility and initiated the process, the timeframe for funds to appear in your account is as follows:

  • Credit / Debit Card: 5–14 business days (depending on your card issuer and bank)
  • Bank Transfer / Wire: 7–10 business days
  • Digital Wallet: 3–7 business days

Adam Vacations will initiate all eligible refunds within 7 business days of receiving a valid cancellation request. We are not responsible for delays caused by your bank or card issuer.

6. No-Show Policy

If you do not arrive at the hotel on the check-in date and have not cancelled your booking, you will generally be treated as a 'no-show'. No-show policies are set by the individual hotel and typically result in a charge equivalent to the full booking value. Adam Vacations is not responsible for no-show charges imposed by hotels.

7. Early Check-Out

If you check out of your hotel earlier than your originally booked departure date, the hotel may charge for the full original booking period. Adam Vacations is not responsible for early check-out charges imposed by hotels. Refunds for unused nights are at the sole discretion of the hotel.

8. Modifications

Requests to modify booking dates or room types are subject to hotel availability and the rate's modification rules. Where permitted, a modification fee of USD 50 per booking may apply in addition to any rate difference. Contact our support team to request changes before making any assumptions about availability.

9. Supplier-Initiated Cancellations

In the rare event that a hotel or supplier cancels your booking (e.g., due to overbooking or property closure), Adam Vacations will notify you as soon as possible and endeavour to offer an alternative accommodation of equivalent or superior standard. If no suitable alternative is available or acceptable, a full refund of the booking value will be processed.

10. Travel Insurance Recommendation

Adam Vacations strongly recommends purchasing comprehensive travel insurance at the time of booking. Travel insurance can protect you against unforeseen events such as illness, injury, family emergency, or trip disruption that may prevent you from travelling. Non-refundable bookings in particular carry a financial risk that travel insurance can mitigate.
